Rowington Village Hall – Terms & Conditions of Hire and Website Use

1. About These Terms

These Terms & Conditions (“Terms”) govern:

  1. The hire and use of Rowington Village Hall (“the Venue”); and
  2. The use of the website rowingtonvillagehall.co.uk (“the Website”).

By booking the Venue or using the Website, you agree to be bound by these Terms.


2. Venue Hire Terms

2.1 Bookings and Availability

  • The Venue may be hired by the hour, subject to availability.
  • All bookings must be confirmed in advance and are not secured until confirmed in writing and relevant fees and deposits have been paid.

2.2 Spaces Available

  • The Main Hall and Meeting Room are available for hire.
  • The Meeting Room is included at no extra cost when hiring the Main Hall but may also be hired separately.

2.3 Deposit

  • A £100 security deposit is required for all bookings.
  • This deposit is held against:
    • Damage to the Venue or its contents
    • Additional cleaning required if the Venue is not returned in its original condition
  • The deposit will be returned after a post-event inspection, provided no issues are identified.

2.4 Facilities and Equipment

AV System

  • The Venue’s AV system must be pre-booked in advance.
  • This ensures that access to the equipment can be arranged and any necessary setup can be completed.
  • Failure to pre-book may result in the AV system being unavailable.

Wi-Fi

  • Free full fibre Wi-Fi is available throughout the Venue.
  • While every effort is made to ensure reliability, the Venue does not guarantee uninterrupted service.

Kitchenware

  • All cutlery, crockery, and glassware are included in the hire.
  • Hirers are responsible for ensuring all items are cleaned and returned to their original location.

2.5 Condition of the Venue

  • The Venue must be left in the same condition as it was found.
  • This includes:
    • Removal of all rubbish
    • Cleaning of used areas
    • Proper storage of furniture and equipment
  • Additional cleaning fees may be deducted from the deposit if required.

2.6 Damage and Liability

  • The hirer is responsible for any damage caused during the hire period.
  • Any costs exceeding the deposit will be invoiced to the hirer.

2.7 Health and Safety

  • The hirer must ensure that all activities comply with relevant health and safety regulations.
  • Capacity limits and fire safety rules must be strictly adhered to.
  • Maximum Venue capacity is 120 people.

2.8 Cancellations

  • Cancellation terms (including any applicable refunds) will be outlined at the time of booking.

3. Website Terms of Use

3.1 Use of the Website

  • The Website is provided for general information and booking enquiries.
  • You agree to use the Website lawfully and not for any fraudulent or harmful purpose.

3.2 Accuracy of Information

  • While we aim to keep information accurate and up to date, we do not guarantee that all content is error-free or complete.
  • We reserve the right to make changes to the Website at any time.

3.3 Intellectual Property

  • All content on the Website (text, images, branding) is the property of Rowington Village Hall unless otherwise stated.
  • You may not reproduce or distribute content without prior written permission.

3.5 Limitation of Liability

  • To the fullest extent permitted by law, Rowington Village Hall shall not be liable for:
